The Honest Conversation About Money
Dental care is one of the few areas of healthcare where the patient sees the cost up front and pays a meaningful share directly. That is uncomfortable, and we do not pretend otherwise. Our approach is to be transparent from the first estimate, give you concrete options rather than vague reassurances, and never apply pressure to commit before you have had time to think.
Patients across Fauquier County have a wide range of financial circumstances and preferences. Some prefer to pay everything in one transaction and move on. Some prefer to spread payments across several months. Some want to use pre-tax dollars they have set aside in an HSA. All of these are workable, and we will design the path that fits your situation.
Accepted Payment Methods
At the front desk we accept all major credit cards, Visa, MasterCard, American Express, and Discover, along with personal checks, cash, ACH bank transfers, and contactless payments through Apple Pay and Google Pay. HSA and FSA cards work the same as any other card for qualified expenses, which includes nearly all of what we do, from cleanings to clear aligners.
CareCredit, Third-Party Financing
CareCredit is a healthcare credit line accepted at hundreds of thousands of providers across the country. The application takes a few minutes and is processed in real time, we can help you submit it at the office or you can apply ahead of your appointment at carecredit.com. Approved applicants can use the line that day, and qualifying balances are eligible for promotional financing across six, twelve, eighteen, or twenty-four months depending on the size of the balance.
We are deliberately not quoting specific interest rates or promotional terms on this page, CareCredit's offers shift over time and what applies to your balance depends on your application. The front desk will walk you through the current options with you so you can compare apples to apples.
In-House Payment Plans
For established patients with larger treatment plans, we offer in-house arrangements that spread the balance across a handful of months without a third-party application or credit check. Terms are simple, signed in writing, and tracked through our practice management system. There is no interest on in-house plans, and there is no penalty for paying off early.
HSA And FSA
Health Savings Accounts and Flexible Spending Accounts let you pay for qualified medical expenses with pre-tax dollars. Dental care qualifies, and that includes the services many plans treat as elective, clear aligners, veneers, professional whitening, and night guards are all eligible. Bring your card to the visit and we will run it like any other payment method. If your plan administrator requires itemised receipts or specific coding, our front desk will provide them.
Courtesy Discount For Paying In Full
When a treatment plan is paid in full at the start, we offer a courtesy discount in recognition of the administrative simplicity. The exact percentage depends on the size of the plan and whether insurance is being billed. The front desk will itemise the discount on your written estimate before you decide. This is not a high-pressure offer, staged payment is equally welcome and chosen by most patients.
Insurance, Estimates, And Real Numbers
If you carry dental insurance, we file claims on your behalf and collect your estimated portion at the visit. For larger treatment we can submit a pre-determination to your carrier and wait for their written response before scheduling. See the insurance page for the full list of carriers and how reconciliation works if a claim pays differently than estimated. For uninsured patients, the Virginia Dental Club annual membership is usually the most cost-effective path.
Frequently Asked
Questions about payment
- What forms of payment do you accept?
- All major credit cards including Visa, MasterCard, American Express, and Discover. We also accept HSA and FSA cards, personal checks, cash, ACH bank transfers, and third-party financing through CareCredit. Apple Pay and Google Pay work at our front desk for patient convenience.
- Do you offer financing for larger treatment?
- Yes. CareCredit is our most common option, a healthcare credit line with promotional financing on qualifying balances. We also offer in-house payment plans for established patients that spread balances across several months without a third-party application. We will help you compare the options at the consultation.
- Is there a discount for paying in cash?
- For larger treatment plans paid in full at the start, we offer a courtesy discount. The exact percentage depends on the size of the plan and whether insurance is being billed. Ask the front desk when you receive your written estimate and the discount will be itemised before you decide.
- Can I use my HSA or FSA?
- Yes. Dental care is a qualified medical expense under both Health Savings Accounts and Flexible Spending Accounts. You can use the card directly at our front desk for cleanings, restorative work, and elective procedures including Invisalign and veneers. We will provide receipts in whatever format your administrator requires.
- What happens if I cannot afford the full treatment plan today?
- We sequence care. Almost no plan needs to happen all at once. Urgent items first, foundational items next, elective items on your own timeline. A staged plan with clear priorities is often what we recommend even for patients who could pay everything today.
- Do you require payment at the time of service?
- For insured patients, we collect your estimated portion at the visit and bill any reconciliation later. For uninsured patients, payment is due at the time of service unless we have set up a financing arrangement in advance. We are happy to discuss any constraint before the appointment.
